What Is Bank Reconciliation?
Bank reconciliation compares the transactions and ending balance in your accounting records with a bank statement for the same account and period. Differences are investigated rather than automatically written off.
QuickBooks bank reconciliation is separate from downloading transactions into a bank feed. A downloaded transaction still needs to be matched or categorized appropriately before the account can be meaningfully reconciled.
Why Bank Reconciliation Matters
Reconciliation helps identify missing entries, duplicated activity, incorrect amounts, and timing differences. It provides a documented review of whether your records agree with the statement.
An unexplained difference can affect other reports. Regular reviews help keep questions visible while statements and supporting documents are available; they do not guarantee error-free books.
Common Reconciliation Problems
Some differences are timing issues; others require corrections or additional information.
Duplicate Bank-Feed Entries
A downloaded transaction may repeat an entry already recorded from an invoice, payment, or previous import.
Outstanding Transactions
Checks or payments recorded in the books may not have cleared the bank by the statement closing date.
Incorrect Opening Balances
An unexplained starting balance can make subsequent periods difficult to reconcile accurately.
What's Involved In Bank Reconciliation?
The review typically compares statement dates and balances, matches transactions, examines unmatched items, and identifies discrepancies for follow-up. Supporting documents and owner clarification may be needed.
Corrections should reflect what actually happened. If records are incomplete or a difference cannot be explained, it remains a question to resolve—not an assumed adjustment simply to make the totals match.
Bank & Credit Card Reconciliation
Each account needs its own statement-based review.
Business Bank Accounts
Review deposits, payments, bank charges, and transfers against the corresponding account statement.
Credit Card Accounts
Compare purchases, fees, refunds, and payments with the card statement for the same period.
Transfers Between Accounts
Check both sides of transfers so they are not duplicated or misclassified as income or expenses.
How Our Reconciliation Process Works
- 1
Step 1: Identify Accounts & Periods
Discuss the bank and credit card accounts, the last reconciled period, and known issues.
- 2
Step 2: Gather Statements
Review available statements and the related QuickBooks Online records.
- 3
Step 3: Match & Investigate
Compare activity and identify differences that need explanation or supporting documents.
- 4
Step 4: Review The Outcome
Discuss unresolved items and the agreed approach to ongoing account reviews.
Bank Reconciliation & Monthly Bookkeeping
Reconciliation is one part of monthly bookkeeping, alongside categorization and financial record organization. A regular monthly review helps ensure reporting reflects the activity recorded for that period.
If earlier periods are unfinished, historical cleanup may be needed before a recurring workflow can begin.
Reconciliation Support Across Utah
Reconciliation is statement-based work, which makes it well suited to remote delivery. From our base in Bountiful, Utah, we reconcile bank and credit card accounts for businesses throughout the state.
Businesses outside Utah receive the same process: secure access to statements and your accounting file, with questions about unmatched items reviewed with you.
